How to Create Appointment Bookings in Google Workspace

1. Sign-ups without attaching to your schedule: You can create a Google Calendar appointment schedule where speakers can book their preferred times. When setting this up, you can choose not to attach it to your own calendar by using an event template in Google Calendar. This allows people to book slots without overlapping with your personal schedule. Additionally, you can include fields where they can indicate their grade preference and view other available slots.

To do this:

  1. Open Google Calendar.
  2. Click on “+ Create” and select “Appointment Schedule”.
  3. Customize the available slots and include a description asking speakers to add their grade preferences in the notes.
  4. Share the public booking link/URL. 

2. Allowing external users to sign up:

External users (outside of SICS) can access the booking page as long as the calendar is made public or you share the booking link directly. You’ll need to adjust the sharing settings when creating the appointment schedule. To do this, go to the sharing options for the appointment booking page and choose Anyone with the link.

3. Editor access for a (work) team:

You can share the calendar with specific people and grant them editor permissions. This way, they can also manage bookings, make edits, and keep everything organized.

To accomplish this:

  1. In Google Calendar, go to SettingsShare with specific people.
  2. Add each team member/collaborator's email address individually.
  3. Set each user's permissions to Make changes to events.

4. QR Codes for Signups:

Once the sign-up system is ready, you can generate a QR code linked to the booking page. Here’s how:

  1. Copy the booking page link/URL.
  2. Use a QR code generator, such as QR Code Generator or QRStuff.
  3. Be sure to download the QR code for use in flyers or other printed materials. 

Note that the QR code can be used in email communication as a secondary signup method.
